How to sign in to WEFO Online

Before you can sign in to WEFO Online your Administrator will need to add you as a user onto the organisations account.  If your organisation has not registered on WEFO Online, view the WEFO Online: how to register for guidance. 

WEFO Online will send an email to the Administrator that set up the new user with a temporary password for the new team member. The Administrator will need to give the new user their temporary password so they can use it with their Government Gateway user ID to sign in. The new user will receive a user ID by email.

How to sign in to WEFO Online:

  • go to sign in to WEFO Online
  • select Sign in
  • from the Government Gateway page, enter your Government Gateway user ID and Password, then select Sign in
  • if you have set up more than one access code, select Text message, Voice call or Authenticator app for smartphone or tablet, then select Continue
  • enter the access code, then select Continue, you will then be signed in to WEFO Online
  • if this is your first time signing in to WEFO Online you will need to set up additional security, select Continue 
  • chose how you want to get access codes,  select Text message, Voice call or Authenticator app for smartphone or tablet, then select Continue

If you choose Text message option:

  • select Yes, then select Continue
  • enter UK mobile phone number, then select Send access code
  • enter the Access code shown on the text message, then select Continue
  • you’ve set up additional security, select Continue

 If you choose Voice call option:

  • enter valid UK phone number, then select Call me
  • enter the Access code from the voice call, then select Continue
  • you’ve set up additional security, select Continue

 If you choose Authenticator app for smartphone or tablet option:

  • you need an Authenticator app on your device, select Continue
  • set up an Authenticator app, select Continue
  • enter the Access code shown on the Authenticator app, then select Continue
  • enter App name, then select Continue
  • you’ve set up additional security, select Continue 
  • to reset your password, Enter your temporary password, enter a New password, enter it again in Confirm new password, then select Reset password
  • Password changed, select Continue
  • to set up recovery details, select Continue
  • enter Recovery word, then select Continue
  • recovery word added, select Continue
  • to register for WEFO Online, enter the Telephone number, Mobile number (if applicable), Job title, then select Continue   
  • Select if you would like to create a new address, or select an address associated to the Business Party

To create a new address

  • select Create a new address then select Continue 
  • enter Building Number or Building Name, Address including Town or City, County,  Postcode, select Country from the dropdown, then select Continue to select language preferences

To select an address associated to the Business Party

  • Select an existing address associated to the Business Party then select Continue 
  • Identify the correct address then press Select
  • select the preferred language preference for Telephone calls, Written correspondence, Emails, Meetings then select Continue   (only complete this section if you are receiving WEFO funding)
  • Check the information entered in the registration summary, If the information is incorrect select Change against Personal details, Address details, Language preferences, change the information that is incorrect then select Continue, repeat until all sections are correct. 
  • to submit the correct information, select Submit

To begin uploading evidence and progressing claims, you will first need to contact your Administrator to be allocated additional Business Party roles.  To find guidance on this please log on to WEFO Online, select How to use WEFO Online, and then select How to add Business Party roles for users. You will then need to contact the relevant Welsh Government team associated to your programme to be added as a contact to a case.

  • Smart Cymru East Wales

  • Smart Expertise West Wales and Valleys

You can now login to WEFO Online, select Continue to WEFO Online
