How to create and edit the 'publication: guidance' content type on GOV.WALES.

When to use

Before you create or edit content, you need to read and understand:

You should also have a version of the content ready for publication.

Use for:

  • guidance publications like manuals, handbooks and other documents that offer advice
  • guidance that users are legally obliged to follow

Do not use for:

  • material that has been produced as web-original content
  • publications that should be added as an attachment to another content format, for example meeting minutes, agendas and papers are added to meetings
  • videos, these should be embedded directly in the content they relate to (usually a news story or press release)

How to create

Creating a new publication: guidance

  1. Log in to GOV.WALES and LLYW.CYMRU.
  2. Select the Workbench view in GOV.WALES (you must start on the English site).
  3. Select Create content.
  4. Select Publication.
  5. Select Guidance from the Publication field.
  6. Complete the Title field.
  7. Complete the Summary field.
  8. If your document is an HTML document, select HTML document from the PUBLICATION DOCUMENTS menu and select Add new publication document.
  9. Complete the Name field with the document title. Make sure that your document conforms with document filename guidance. Use the File field to upload your file.
  10. Type in the name of the HTML document in the HTML document field and select the correct document.
  11. If the document is only available in English or Welsh, select that language from the Language availability menu.
  12. When all fields are completed, select Create publication document.
  13. Repeat steps 7 to 11 to add more HTML documents.
  14. To add a document that is not in HTML select Publication document from the PUBLICATION DOCUMENTS menu and select Add new publication document.
  15. Complete the Name field with the document title. Make sure that your document conforms with document filename guidance. Use the File field to upload your file.
  16. If your document is in PDF format, select Generate a thumbnail to create an automatic thumbnail.
  17. If the document you are uploading is not a PDF, you must create a thumbnail and upload it. The thumbnail should be 160px (W) x 230px (H). Use the Thumbnail field to upload the thumbnail.
  18. If the document is only available in English or Welsh, select that language from the Language availability menu.
  19. When all fields are completed, select Create publication document.
  20. Repeat steps 13 to 18 to add more non HTML documents.
  21. If you have any additional content, select Add Content and paste any content into the Content field. This will always appear below the documents on the page.
  22. Tag to relevant Topics.
  23. If content is from or about an organisation complete EXTERNAL ORGANISATIONS with the name of the organisation.
  24. Add up to around 5 INTERNAL LINKS (NODE) to content directly related to the user needs being met by the publication: guidance.
  25. Do not usually complete INTERNAL LINKS (TERMS). Either the publication: guidance is relevant to a topic therefore tagged to it or linked to pages meeting specific user needs.
  26. To link to another website select Add External Link.
  27. To save and edit again before publishing select Save and Create New Draft. To save and specify when to publish in the future, set a date and time in SCHEDULING OPTIONS (expand this field which is usually to the right of the main editing fields). Then select Save and Approve to go live.
  28. To add the Welsh content, select TRANSLATE.
  29. Select Add from row labelled Welsh.
  30. Update fields with Welsh language content.
  31. To save changes without making them public select Save and Create New Draft (this translation). To save and make changes public select Save and publish (this translation). To save and publish on the date set in step 27, after selecting Save and Make Draft (this translation) select Save and Approve to go live (this translation).
  32. Ensure the Welsh and the English are in the same published state and check both languages, for example layout is correct and links work.

Editing an existing publication: guidance

  1. Find the existing publication: guidance either by browsing the public site or select Workbench then All recent content. You must do this on GOV.WALES as the English content must be edited first.
  2. Open the publication: guidance.
  3. Select EDIT DRAFT or NEW DRAFT.
  4. Edit the publication: guidance.
  5. Complete Revision log message (all languages) with brief summary of changes.
  6. To save changes without making them public select Save and Create New Draft (this translation). To save and make changes public select Save and publish (this translation).
  7. Make the same changes to the Welsh version of the publication: guidance.

The content paragraph is optional for a publication: guidance. It can be used to provide further information to reassure the user they have found the information they want. It may also help meet the user need without opening the document, for example by summarising the main recommendations in a report.
