How we will store and process your details under the General Data Protection Regulation (engagement events on child poverty strategy 2023).
The Tackling Poverty and Supporting Families Division in Welsh Government is holding virtual and regional face-to-face engagement events in February and March 2023 to inform the refreshed Child Poverty Strategy 2023.
Data will be collected as part of a Smart Survey to be used for the purpose of processing and enabling you to attend/participate in an event.
What personal data do we hold and where do we get this information?
Personal data is defined under the UK General Data Protection Regulation (UK GDPR) as ‘any information relating to an identifiable person who can be directly or indirectly identified by reference to an identifier’.
As Data Controller, the Welsh Government will share a link to an expression of interest form to take part in the event via the Welsh Government TacklingPovertyAndSupportingFamilies@gov.wales mailbox.
This link will be shared with individuals and organisations who have are known to have a prior interest in this issue with a request to cascade the invitation as relevant.
If you wish to take part in the event, you will need to complete an expression of interest form with your contact details and preferences for involvement in the event.
The form will ask for the following personal information:
- Name
- Job Title
- Organisation
- Email Address
- Local authority or region in which you work /are based
- Language preference
- Preference in relation to attending a virtual or face to face event
The Welsh Government will then email you information about joining an event.
Who do we share your information with?
The Welsh Government will not share your data with anyone else.
What is the lawful basis for using your data?
The lawful basis for processing information in this data collection exercise is our public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government.
How secure is your personal data?
Your personal data provided to Welsh Government is held on secure servers.
When conducting surveys, the Welsh Government use a survey software programme called Smart Survey. We have ensured that Smart Survey is UK GDPR compliant and meets our expectations in terms of the security of any data collected via the software (e.g. all data is processed within the EEA).
How long do we keep your personal data?
All personal data will be deleted 3 months after the event.
Individual rights
Under UK GDPR, you have the following rights in relation to the personal information you provide as part of this research specifically you have the right:
- to access a copy of your own data
- for us to rectify inaccuracies in that data
- to object to or restrict processing (in certain circumstances)
- for your data to be ‘erased’ (in certain circumstances)
- to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
