Returning officer survey: privacy notice

Introduction
We are contacting you via the personal information you provided to the Cabinet Office covered under the privacy notice. The purpose for which we are processing your personal data is to collect information about the forms of Government support which you indicate you would welcome and the necessary contact details to allow us to pass on relevant information or get in touch by email or phone.
Data
We will process the following personal data:
- first name
- last name
- email address
- alternative contact details (optional)
- local authority area
- job title in relation to elections
- where you participate in a survey, your opinions or any other data that you volunteer, no special category data will be requested in the survey
Legal basis of processing
The legal basis for processing your personal data is that processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller. In this case that is to process and act upon the information you provide and the indication you give as to the support you may require in recruiting electoral staff and securing electoral venues ahead of the May 2021 elections.
Recipients
As your personal data will be stored on our IT infrastructure it will be shared with our data processors who provide email, and document management and storage services.
Where your response to our surveys indicate that you are based in Wales, we will share your responses in identifiable form with Welsh Government officials. This will enable the Welsh Government to support Returning Officers and Local Authorities based in Wales, who have requested support in recruiting electoral staff and securing electoral venues ahead of the May 2021 elections. The Welsh Government will handle your data for the same purpose, hold it for the same period of time and process it in the same way as set out in this Privacy Notice.
Use of your data
We are contacting you via the personal information you provided to the Cabinet Office covered under the privacy notice. We are using the data in your response to the survey to process and act upon the information you provide and the indication you give as to the support you may require in recruiting electoral staff and securing electoral venues ahead of the May 2021 elections.
This data will be used to enable us to share the relevant contact details of candidates who have consented to have their contact details passed on to you, enabling you to contact them about electoral roles supporting the local, mayoral, and Police and Crime Commissioner elections in May 2021.
Retention
Your personal data will be kept by us for as long as you wish to receive communication from the Cabinet Office. If you respond to a survey then we will keep your data in identifiable form for one year from 22 February 2021.
Your rights
You have the right:
- to request information about how your personal data are processed, and to request a copy of that personal data
- to request that any inaccuracies in your personal data are rectified without delay
- to request that any incomplete personal data are completed, including by means of a supplementary statement
- in certain circumstances (for example, where accuracy is contested), to request that the processing of your personal data is restricted
- to object to the processing of your personal data
International transfers
As your personal data is stored on our IT infrastructure, and shared with our data processors, it may be transferred and stored securely outside the UK. Where that is the case it will be subject to equivalent legal protection through an adequacy decision or the use of Model Contract Clauses.
Complaints
If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an independent regulator. The Information Commissioner can be contacted at:
