ATISN 16140 – Lost devices

Thank you for your request which I received on 7 March 2022. You asked for the following information, within the time period of January 2019 to the most recent available data: 

  • How many devices (laptops, phones, hard drives, USBs, cameras, SD cards, tablets, ect.) have been lost by employees?  
  • How many devices were reported lost? 
  • Where were these devices reported to have been lost? 
  • How many of these lost devices were retrieved? 
  • How long did it take for these lost devices to be reported lost?
  • How many devices (laptops, phones, hard drives, USBs, cameras, SD cards, tablets etc.) were reported stolen?
  • Where were these devices reported to have been stolen?
  • How many of these stolen devices were retrieved? 
  • How long did it take for these devices to be reported stolen?
  • How many staff members have been disciplined for having lost/misplaced devices? 
  • How many devices have been issued to employees?

The information you requested, follows.  Note that I have interpreted your request for figures regarding “USBs” to refer to USB storage devices which we do not issue to staff, and therefore we do not hold figures in relation to them.

How many devices (laptops, phones, hard drives, USBs, cameras, SD cards, tablets, etc.) have been lost by employees?  

40 mobile phones, 15 laptops, 1 iPad, 34 VPN fobs, 1 MiFi device

How many devices were reported lost? 

31 mobile phones (difference to above figure due to phone being found by members of the public before staff realised they were missing), 15 laptops, 1 iPad, 34 VPN fobs, 1 MiFi device

Where were these devices reported to have been lost? 

Mobile phones – 1 left in taxi, 3 lost at an event/conference, 1 left in a hotel, 5 cannot be accounted for, 2 left on a train, 11 missing at home, 4 missing in the office, 1 missing in a pub, 2 missing while commuting, 1 lost in the post

Laptops – 2 lost at an event/conference, 6 left on a train, 2 found by members of the public, 1 left in a taxi, 1 missing in the office, 2 missing at home, 1 left in a train station

iPad – left on a train

VPN fobs – unaccounted for, likely to have fallen out of pockets, misplaced at home, fallen off keys

MiFi device – missing at home

How many of these lost devices were retrieved? 

Mobile phones – 20

Laptops – 9

VPN fobs – 1

How long did it take for these lost devices to be reported lost?

24 devices – same day

50 devices – next day

3 devices – 2 days (next working day due to weekend)

4 devices – 3 days (next working day due to weekend)

1 device – 4 days

How many devices (laptops, phones, hard drives, USBs, cameras, SD cards, tablets etc.) were reported stolen?

Laptops – 3

VPN fob - 1

Where were these devices reported to have been stolen?

Laptops – 3 car break-ins

VPN fob – Bag theft

How many of these stolen devices were retrieved? 

None of the items were retrieved

How long did it take for these devices to be reported stolen?

Reported to Police same day, and to Welsh Government either same or following work day

How many staff members have been disciplined for having lost/misplaced devices?
